Urbancool Solutions Pvt. Ltd. ("Urbancool", "we", "us", "our") is an environmental engineering and green infrastructure company registered and operating in Lucknow, Uttar Pradesh, India. We provide integrated building climate systems including cool roof coatings, Miyawaki forest installations, bamboo thermal buffers, jaali screen systems, vertical green walls, and IoT environmental monitoring.
This Privacy Policy explains how we collect, use, disclose, and protect personal information submitted through our website (urbancoolsolutions.in) and through the delivery of our professional services.

A. Information You Provide Directly
Contact & Enquiry Data: Full name, phone number, email address, property type, location/area, and any message you include in the Free Site Audit booking form.
Service Engagement Data: Property address, roof area, building age, existing materials, and photographs collected during site assessments and project execution.
Communication Data: Records of WhatsApp, email, or phone conversations related to your project.
B. Information Collected Automatically
Usage Data: Browser type, device type, pages visited, time on site, and referring URLs — collected in aggregate through analytics tools. This data is not linked to your identity.
Cookies: We use essential cookies for basic site functionality. We do not use advertising cookies or cross-site tracking. See Section 8 for details.
C. IoT Monitoring Data
For clients who opt into our IoT sensor systems, environmental data is collected including surface temperatures, indoor air quality indices, PM2.5 readings, humidity, and VOC levels. This data is linked to your property, not your personal identity. See Section 5 for full details.
03 How We Use Your Information
We use the information collected for the following purposes:
To respond to your enquiries and schedule free site audits
To prepare customised design reports and project proposals
To deliver, manage, and warranty our environmental engineering services
To send you project updates, scheduling communications, and post-installation support
To generate aggregated, anonymised performance benchmarks for research (individual identity is never disclosed)
To comply with applicable legal obligations under Indian law
To improve our website and service offerings based on aggregate usage patterns

04 Sharing & Disclosure

Legal Requirements: When required by a court order, government authority, or applicable Indian law including the IT Act, 2000.
Business Transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred — you will be notified in advance.
No data is shared with advertising networks, data brokers, social media platforms, or any entity for commercial exploitation.
05 IoT & Environmental Monitoring Data
For clients with IoT dashboard subscriptions, the following applies:
All environmental sensor data (temperature, PM2.5, AQI, humidity) is stored on secure cloud servers and accessible only to the authorised account holder(s) for your property.
Data is never shared between clients. Each property has a completely isolated, private data environment.
We may use anonymised, aggregated trends across all installations (e.g., "average roof temperature reduction across UP installations in June") for scientific benchmarking and service improvement. No individual property or client is identifiable in such data.
Upon service termination, IoT data is retained for a maximum of 2 years unless you request earlier deletion.
For institutional clients with on-premise data requirements, custom arrangements are available.
06 Data Retention
Enquiry Data (no project initiated): Retained for 12 months from first contact, then permanently deleted.
Active Client Data: Retained for the duration of the project plus 7 years thereafter for warranty, legal, and tax compliance purposes under Indian law.
IoT Sensor Data: Retained for 2 years post-service termination unless earlier deletion is requested.
Website Analytics Data: Aggregated only, no identifiable retention period.
Upon request, we will confirm the specific retention period applicable to your data category.
07 Your Rights
As a data subject under applicable Indian information technology law, you have the following rights with respect to your personal data held by us:
Right to Access: Request a copy of personal information we hold about you.
Right to Correction: Request correction of inaccurate or incomplete personal data.
Right to Withdrawal of Consent: Withdraw consent for communications at any time (note: this does not affect processing that occurred before withdrawal, or data retained for legal/contractual obligations).

10 Children's Privacy
Our services and this website are intended for adults (18 years and above) acting in their capacity as property owners, managers, or institutional representatives. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected information from a person under 18, we will promptly delete it. If you believe we have such information, please contact our Grievance Officer immediately.

01 Acceptance of Terms
By accessing or using the Urbancool Solutions website (urbancoolsolutions.in), submitting an enquiry, booking a site audit, or engaging us for any service, you ("Client", "you", "your") agree to be bound by these Terms of Service ("Terms") and our Privacy Policy, which is incorporated herein by reference.
If you are engaging us on behalf of an organisation (a housing society, company, institution, or government body), you represent that you have the authority to bind that organisation to these Terms.
If you do not agree with any part of these Terms, please do not use our website or engage our services.
02 Description of Services
Urbancool Solutions provides integrated building climate systems and related environmental engineering services, including but not limited to:
Cool roof coating systems (heat-reflective, waterproofing, UV-resistant)
Miyawaki micro-forest design, species selection, and installation
Bamboo thermal buffer planning and plantation
Jaali screen system design and installation
Vertical green wall systems (external façades and indoor installations)
IoT environmental sensor deployment and dashboard provisioning
Hydrophobic / permeable pavement design and installation
Biophilic pergola and trellis system design, supply, and planting
Free site assessments, design reports, and project consultations
Post-installation monitoring, maintenance, and warranty services
Specific scope, deliverables, timeline, and pricing for paid services are defined in a separate written project agreement signed by both parties prior to commencement of any paid work.
03 Free Site Audit — Terms
Our Free Site Audit is provided at no charge and with no obligation to proceed with any paid service. The following terms apply:
The audit is conducted by a qualified Urbancool environmental engineer at your property, at a mutually agreed time.
The audit includes: roof surface temperature measurement, indoor PM2.5 air quality baseline, solar angle assessment, shade mapping, and a written design report with indicative pricing.
You grant our engineer access to the relevant areas of your property solely for the purpose of conducting the audit.
The design report and all projections contained within it are indicative estimates based on site conditions observed during the audit. They are not contractual guarantees.
We reserve the right to decline or reschedule audit requests at our discretion, particularly where the property is outside our current service coverage area.
Free audits are currently available in Lucknow and select nearby cities. Coverage is expanding — enquiries from outside our service area are welcome and will be responded to as coverage expands.
04 Paid Services — Engagement & Payment
Engagement for any paid service is formalised through a written Project Agreement / Work Order that specifies:
Scope of work, materials, and installation methodology
Total project cost and payment schedule (typically: advance deposit + milestone payments + final payment)
No paid work commences until the Project Agreement is signed and the agreed advance deposit is received. Indicative pricing shown on this website or in the Savings Calculator is for estimation purposes only and does not constitute a binding quote.
Important: Do not make any payment to Urbancool Solutions without a signed Project Agreement referencing the specific scope and amount. We are not liable for payments made based solely on verbal or informal communication.
05 Performance Claims & Disclaimers
Performance figures cited on our website — including temperature reductions, energy savings percentages, PM2.5 reduction rates, and payback periods — are based on:
IoT-monitored data from completed Urbancool installations
Published scientific literature on building envelope performance
ASHRAE and BEE (Bureau of Energy Efficiency, India) reference standards
Estimates generated by our Savings Calculator tool
Disclaimer: All performance projections are indicative estimates. Actual results will vary depending on property type and age, existing roof condition, local microclimate, building orientation, usage patterns, presence of neighbouring structures, installation quality, and maintenance. Urbancool does not guarantee specific performance outcomes unless expressly committed to in writing in a signed Project Agreement with defined measurement protocols.
The Savings Calculator on our website is a planning tool only. Its outputs are not legally binding estimates or contractual commitments.
06 Warranties & Guarantees
Urbancool Solutions provides the following warranties on completed paid installations:
Cool Roof Coating: 10-year material warranty against peeling, delamination, and significant SRI loss under normal conditions, as per manufacturer specifications. Workmanship warranty: 2 years.
Waterproofing Membrane: 5-year workmanship and material warranty against water ingress through treated areas.
Miyawaki Forest: Plant establishment warranty for 12 months post-installation — replacement of plants that do not establish due to planting methodology (excludes acts of God, vandalism, or negligent watering).
IoT Sensors: 1-year hardware warranty; annual calibration and maintenance recommended and available through our IoT Service Agreement.
Warranties are void if: the installation is modified by parties other than Urbancool, the property undergoes structural changes affecting the installed system, or the client fails to follow our written maintenance guidelines.
Warranty claims must be submitted in writing to urbancoolsolutions92@gmail.com. We will inspect and respond within 10 working days.
07 Client Obligations
As a client engaging Urbancool for services, you agree to:
Provide accurate and complete information about your property, usage patterns, and requirements
Grant safe and timely access to the relevant areas of your property during site audit, installation, and maintenance visits
Obtain any required permissions from landlords, RWAs, local authorities, or co-owners before work commences (we provide supporting technical documentation upon request)
Follow written maintenance guidelines provided post-installation to preserve performance and warranty validity
Make payments in accordance with the schedule in your Project Agreement
Notify us promptly of any changes to the property that may affect the installed system
08 Intellectual Property
All content on this website — including text, design, graphics, layout, code, service descriptions, calculator logic, and branding — is the intellectual property of Urbancool Solutions Pvt. Ltd. and is protected under the Copyright Act, 1957 (India) and applicable international intellectual property law.
You may not reproduce, redistribute, or commercially exploit any content from this website without our prior written consent.
The design reports, technical drawings, and IoT dashboards we produce for your project are provided for your use only and may not be shared with competing service providers or used to reverse-engineer our methodologies.
You retain ownership of your property data and IoT sensor readings. We retain ownership of the analytical frameworks, species databases, and software systems used to generate reports and dashboards.
09 IoT Services — Specific Terms
For clients subscribing to our IoT environmental monitoring service:
IoT dashboards are provided as a Software-as-a-Service (SaaS) component and require an active service agreement for continued cloud access.
Dashboard access is provided on a per-property basis and may not be transferred or resold.
We do not guarantee 100% uptime of cloud dashboards; planned maintenance windows will be communicated in advance.
Client is responsible for maintaining internet connectivity at the property for sensor data transmission.
Sensor hardware remains the property of Urbancool Solutions until full payment of the IoT service package is received, after which ownership transfers to the client.
We provide remote diagnostics and scheduled calibration; on-site visits for calibration are billable under our annual IoT maintenance plan.
10 Limitation of Liability
To the maximum extent permitted by applicable Indian law:
Urbancool Solutions' total liability for any claim arising from our services shall not exceed the total amount paid by you for the specific service giving rise to the claim.
We are not liable for indirect, incidental, consequential, or punitive damages, including lost profits, loss of data, or business interruption, arising from the use or inability to use our services.
We are not liable for performance outcomes that deviate from projections due to factors outside our control: extreme weather events, changes in your electricity consumption patterns, third-party modifications to the property, or acts of God.
Our liability for the free site audit is limited to the cost of the audit itself (nil), as it is provided without charge.
Nothing in these Terms excludes liability that cannot be excluded by law, including liability for death or personal injury caused by our negligence, or fraud.
11 Indemnification
You agree to indemnify and hold harmless Urbancool Solutions Pvt. Ltd., its directors, employees, and agents from and against any claims, liabilities, damages, or expenses (including reasonable legal fees) arising out of:
Your breach of these Terms
Your failure to obtain required permissions or approvals before installation
Inaccurate or misleading information provided to us that affects project outcomes
Modifications to our installations made without our written authorisation
12 Termination
By the Client: You may cancel a project engagement before commencement of physical installation work, subject to forfeiture of any advance deposit paid to cover design and mobilisation costs, as specified in your Project Agreement.
By Urbancool Solutions: We reserve the right to suspend or terminate services if: payment obligations are not met as per the agreed schedule; you breach these Terms or your Project Agreement; site conditions discovered during works materially differ from those represented; or continued engagement would violate applicable law.
IoT Service Termination: Either party may terminate an IoT service subscription with 30 days' written notice. Upon termination, dashboard access is revoked at the end of the notice period. Sensor hardware ownership transfers as per Section 9.
13 Dispute Resolution & Governing Law
These Terms and any dispute arising from them are governed by the laws of the Republic of India, specifically including the Indian Contract Act, 1872, the Consumer Protection Act, 2019, and the Information Technology Act, 2000.
Step 1 — Informal Resolution: Parties agree to first attempt to resolve any dispute informally by written notice to the other party, allowing 30 days for good-faith resolution.
Step 2 — Mediation: If informal resolution fails, the parties agree to attempt mediation through a mutually agreed mediator in Lucknow before initiating formal proceedings.
Step 3 — Jurisdiction: If mediation fails, disputes shall be subject to the exclusive jurisdiction of the competent courts located in Lucknow, Uttar Pradesh, India.
Nothing prevents either party from seeking urgent injunctive relief from a court of competent jurisdiction to prevent irreparable harm.
